Custom Fields Moving to the Account Level

Updated over 2 weeks ago

We will soon implement a significant change to how Custom Fields work in the PDM Platform.

What is changing?

Currently, Custom Fields in PDM are created and administered at the Brand level. Each Brand can have its own independent Custom Fields.

After this change is made, Custom Fields will be created and managed at the Account Level. Each Custom Field will be enabled or disabled for use on a per-Brand basis. This means for any given Brand, the enabled custom fields will be visible in the Custom Field segment and included in Exports for that Brand. The list of Brands associated with a Custom Field can be updated at any time through the PDM user interface under Settings > Custom Fields.

When is this change going to take place?

We are planning to make this change in the evening PST on Thursday, October 16, 2025. If for any reason this date needs to change, a banner will appear within PDM and this page will be updated to reflect the new target date.

What disruption might his cause?

We have designed our migration process to avoid any significant disruption. In addition, we identified specific scenarios that could result in disruption and communicated directly with users to resolve any known potential issues in advance. We also will retain a copy of the Brand-level Custom Field settings and data should any unanticipated issues arise. Please see the next section for specific situations to be aware of.

What detailed implications exist?

The primary condition in which detailed implications exist is the scenario in which an existing Custom Fields within an account but within two or more different Brands have the same name but are assigned a different type (ie, Text, Drop Down, Checkbox, etc). In these cases:

  • The Account Level custom field will be assigned the type of Brand-level Custom Field that was created first.

  • If a Custom Field with the same name in different brands exists with different values for the Drop Down menu, we will create a combined ("superset") list of those value for the new Custom Field. If it is desired that different brands have different lists of Drop Down menu items, the user can create one or more new Custom Fields and assign those to the desired Brands.
